Information we collect

When you submit a quote request or contact form on this site, we collect the information you provide directly, which may include your name, email address, phone number, city/province, the type of coverage you're interested in, your preferred timeline, and any notes you choose to share.

Where you have accepted analytics cookies, we also collect limited technical information — pages visited, general usage patterns, your device and browser type, the site that referred you, your IP address, and an approximate location derived from that IP address (typically city/region level, not a precise address) — to help us understand how the site is used and improve it. If you decline, none of this is collected.

How we use your information

We use the information you provide to respond to your inquiry, prepare and discuss coverage options, and, where you proceed with an application, to share necessary details with the relevant insurance carrier to process it.

We do not sell your personal information to third parties.

Consent

By submitting a form on this website, you consent to us collecting and using your information as described in this policy. You may withdraw consent at any time by contacting us at info@smileinsurance.ca, subject to legal or contractual restrictions.

Consent to analytics cookies is separate and is asked for independently. Analytics are deactivated until you actively accept them, and you can withdraw that consent at any time using the "Cookie preferences" link in the site footer — withdrawing is as simple as giving it. Declining analytics does not affect your ability to use this site or to request a quote.

Sharing and disclosure

We may share your information with insurance carriers and underwriters when you choose to move forward with an application, and with service providers who help us operate this website (such as our form-handling and hosting providers), under obligations to protect your data.

The third parties that process information on our behalf are: Google LLC (Firebase Hosting, Firestore, Cloud Storage, Cloud Functions and, with your consent, Google Analytics); ipwho.is, for approximate IP-based geolocation where you have accepted analytics; and our email delivery provider, used to send your confirmation and our internal notification.

We may also disclose information where required by law.

Data retention

We retain personal information only as long as necessary to fulfill the purposes described in this policy, or as required by applicable insurance and financial-services record-keeping regulations.

Analytics and visitor-log records — page views and IP-derived location data collected with your consent — are retained for no more than 26 months, after which they are deleted.

Your rights

Under PIPEDA and applicable provincial law, you have the right to access the personal information we hold about you, request corrections, and withdraw consent to further collection or use. To exercise these rights, contact us at info@smileinsurance.ca.

Cookies and analytics

We use two kinds of cookies and similar technologies. Strictly necessary ones are always active: a sign-in cookie used only by our administrators, and a record of your own cookie choice stored in your browser so we do not ask again on every page. Neither is used to track you.

Analytics cookies are off by default and are only set after you select "Accept" in our cookie notice. We use Google Analytics (provided by Google LLC through Firebase), which sets cookies named _ga and _ga_<identifier> that typically persist for up to two years, and registers an installation identifier in your browser. Declining prevents these from being set, and clears any that were set previously.

If you accept, we also record your IP address and the approximate city and region it resolves to, for security, fraud-prevention and internal analytics. To determine that approximate location, your IP address is sent to ipwho.is, a third-party geolocation service. The resulting record is stored using Google Cloud services on servers located in the United States, and may therefore be subject to the laws of that country. This information is visible only to our site administrators and is never sold.

You can change your mind at any time using the "Cookie preferences" link in the footer of any page, or by clearing cookies through your browser settings.

Accountability

We are accountable for the personal information in our custody. Questions, access requests and complaints can be directed to our privacy officer at info@smileinsurance.ca, who is responsible for our compliance with this policy.

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada, or the equivalent provincial authority in Alberta or British Columbia.

If a breach occurs

If personal information in our control is lost or accessed without authorization and it creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as soon as feasible, and keep a record of the incident as required by law.

Security

We use reasonable administrative and technical safeguards to protect the information you share with us. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Children's privacy

This website is not directed at children under 16, and we do not knowingly collect personal information from children.

Changes to this policy

We may update this policy from time to time. The "last updated" date at the top of this page reflects the most recent revision. Continued use of the site after changes take effect constitutes acceptance of the updated policy.
